The following is provided as a quick reference and usage for portions of the template.

On the Main Table tab, you will see the following columns that house all the data for the other tab views. While the amount of data can be overwhelming, each column serves a purpose for reporting or displaying on other tabs. If it’s easier to consume portions of the information, feel free to create a “new view” based on only the relevant columns for a specific use.
TASK
Title of the task to be completed. Additional description, communication, and collaboration should be added to the detail view after clicking the “+ Conversation” bubble. Use the checkbox to select multiple tasks.
Inside the update modal, the Operations team will keep the template up-to-date with current links to associated templates and any relevant guidelines or steps for that particular task. For questions about the purpose of an individual task, ask for clarification from your Project Manager.

Update Frequency: Weekly grooming and updates when needed
ESTIMATES
The estimate columns for each task collectively represent how the task was estimated (in hours) during the sales cycle or refined during the Planning Phase (broken down with the team).
Each column is calculated for a different purpose:
Sub Total — Dynamically updates based on the total of the subtasks within a task.
Final Estimate — Manually entered to “lock in” the estimate and add any buffer as needed. Monday doesn’t allow for a Dynamic Mirrored column to be used as a formula, so reentry is required.
Estimate Notes — Assumptions and notes for how the Final Estimate number was calculated and any risks or constraints.
Burn — Manually updated to reflect billing in Harvest. If granular tracking isn’t desired, hours can be grouped and reported on one task for the Group.
Remainers — Dynamic formula column that calculates the remaining hours.
A Sum of each Group is located at the bottom of the column, and these totals are used on the Project Dashboard for T&M projects.

PERSON
Best practice is only to have one person assigned to a task at a time. If the task transitions to another (responsible) person, update and comment.

STATUS
Changed at each phase of completion, with the following definitions:
On Deck (assigned/scheduled)
Working on it (in progress)
Under Review (with the customer for review)
Stuck (blocked)
Done (complete)
Needs Estimate (T&M)
Estimated (T&M)
Client Approved (T&M)
Cancelled (customer cancelled request)
Next Steps / Notes field to provide a high-level summary of the task status and relevant notes about the next steps for that specific task.

SPRINT
This tag is updated to reflect the planned Sprint that the work will be accomplished. Changes to this field alter filtering in other tab views. Tasks should all be assigned a sprint during Planning.

DUE AND DURATION
Date the task is expected to be complete and the duration the work will be performed.

LAST UPDATED AND ITEM ID
These columns can be used to show stale tasks that need to be addressed and item IDs that a customer could cross-reference for issue tracking or reporting.

RIDAC
Assigned to tasks when identified as a risk, issue, decision, action, or change. Data entered in this column populates the RIDAC section of the Dashboard view.

DEPENDENT ON
Assigned to tasks that have dependencies that require completion before being able to be started or completed.

BILLING
Indication if the task is billable (or non-billable) and influences how time for that task is translated to Harvest. The majority of tasks in a project will likely be billable, but there may be a reason that a task is deemed non-billable. Ask the Project Manager any questions about where time should be billed.

CURRENT SPRINT — DATA AND COLUMNS
The Current Sprint is set up as the default tab for the board. This tab should be used for team check-ins, standups, and progress updates. The team may find it helpful to view their work in this view for easy reference.
Under the filtering button, you can adjust what Sprints are featured on this board or easily see what is currently assigned to you.
The Third tab view on the board is a high-level dashboard that provides a quick self-service check for internal and potentially external stakeholders. Portions of the view are automatically updated (status batteries and this week / next week's tables).
At least once every two weeks, the Project Manager should update the Status Summary and Todo List. The Dashboard can then be shared by URL or PDF to the customer as part of Kinetic’s Project Management and Communications plan. The PDF should also be saved in the Client > Project Management folder on Google Drive.
To make updates to dashboard widgets from how they are set up on the template, you can edit filtering and widget settings under their corresponding menus.
The Sprint Planning tab filters for all tasks that are unassigned to a sprint or past due. This view should be used during the sprint planning efforts and weekly grooming sessions to assign work and plan project cadence.
As a best practice, during sprint planning, the Delivery Team should review the task list to ensure it accurately reflects the work to be done and assign tasks to a sprint based on the team's average ability to complete tasks in a given period of time.

The Gantt chart view automatically populates based on tasks and assigned due dates. A Gantt chart makes it easy to see the project timeline, bottlenecks, and dependencies. Consultants can move tasks around in the view to adjust due dates for individual tasks.
The Files Gallery view automatically populates with assets that have been uploaded to individual tasks. Delivery Team members can easily filter, sort, and search files for reference. Additionally, files can be downloaded from this view as well.
It may be useful to use the “My Work” view in Monday.com. This option appears along the left-hand side of Kinetic’s Workspaces. This view is particularly useful for consultants who need to manage multiple projects and tasks at once. For more flexibility, this view can also be customized to fit your needs.
