The was created with the “kitchen sink” approach and is intended to be curated and modified by Kinetic Consultants. The template is divided into task groups with phase-appropriate tasks and was designed with reasonable accommodations for flexibility while maintaining consistency across various projects.
Every new project should start with the template, and Consultants can add or remove from the board to match their project’s specific scope and needs. We created the board template as an organic, “self-documenting” template with details and links to appropriate tools and resources for reference. For a detailed explanation of the template data points, please refer to the Playbook's section.
Some additional best practices for managing the Monday.com board include:
Assigning Tasks: Assigning tasks and responsibilities is an important aspect of managing the Monday.com board. The team should assign each task in the template to ONE team member or consultant responsible at a time. If the task needs to be transferred to another responsible team member, the assigned person should reassign that task.
Progress Tracking: Regular updates on the status of each task can help identify potential roadblocks or delays and allow for timely intervention to keep the project on track. The template provides tools for tracking progress, such as progress bars, due dates, and checklists, which each Delivery Team member can customize based on the project's specific needs.
Dashboard Updates: Keeping the Monday.com board updated is essential to ensure accurate and timely information on the dashboard. The dashboard provides a high-level overview of the project's progress and is only as useful as the data on the main table. Regularly updating the board with the latest task status, completion dates, and other critical information will ensure that the dashboard is up-to-date and provides a clear picture of the project's overall health.
A project will likely require the creation of new tasks. Documenting project tasks can become overwhelming, but it helps to break down large efforts into smaller tasks — keeping the SMART paradigm in mind.
S
Specific — Task should have a precise, distinctive description/user story
M
Measurable — Consider the acceptance criteria of the task at completion
A
Achievable — Break down into smaller tasks that can be accomplished
R
Realistic — Focus on doable tasks
T
Time-based — Timing should fit within the designated sprint and estimate
To add an individual task to a group, use the “+Add Item” button at the bottom of the task field within a group. When adding a new task, assign values across the entire row for each column. To remove an unneeded task, click on the “...” to the left of the task and select delete, or right-click and select delete. You can also delete multiple tasks at once by checking the box to the left of the task and selecting delete in the menu that pops up.
TASK TITLES — The best practice when creating new titles is to follow the “Verb, Task” format. Instead of creating a task for “Tech Bar,” tasks should be clearly labeled to make it easy to understand what action is required. It may help to think about each task within the user story format. Adding descriptions within the task that outline test goals makes the task easier to understand and provides clear acceptance criteria for when it is complete.
