As businesses grow and become more complex, it becomes increasingly important to maintain an organized and efficient work environment. One key aspect is properly structuring and organizing digital files and documents. It is important to keep Google Workspace file structure organized to make sure the entire Kinetic Data team can easily find, access, and collaborate on important files — ultimately leading to increased productivity and efficiency.
All Delivery projects live within the 3 – Delivery folder within the Client folder. Project folder naming conventions should follow the <DATE> <CLIENT — PROJECT NAME> format.
Each set of folders and subfolders corresponds to the Monday.com Project Board template. During Project Setup, the Operations team will create the Google Workspace file structure and make all the necessary templates available in the correct folders. Ask your Project Manager or Delivery Team Lead for guidance if you're unsure which folder to use. Additionally, if you have any questions or concerns about the folder structure or templates, don't hesitate to contact the Operations team for support.
0 — Project Management
The project management folder is where all documents related to project management activities, meeting notes, status updates, and customer approvals are stored. It is the central repository for PM-related information and ensures the Delivery Team can manage the project effectively.
1 — Sales
The sales folder contains all sales-related documents, including proposals, contracts, and strategies. It serves as a main folder for the Sales Team, providing easy access to the historical records of the project agreement.
2 — Initiation
The initiation folder is where all the documents related to the Initiation Phase of a project are stored, such as the Sales Handoff and Kickoff documents.
3 — Planning and Design
The planning and design folder stores all documents, such as stakeholder interviews, requirements documents, UI/UX assets, and the system requirements specification document. The planning and design folder is essential for housing documents that maintain project focus, and definition.
4 — Execution
The development and execution folder is where all the documents related to the development and execution phase of a project are stored, including sprint reviews and retrospectives. This folder may also include other technical assets, code, and resources needed to build the project and solution.
5 — Validation
The Validation folder is a repository for all documents related to the project's validation and testing phase. It includes test plans, cases, results, and validation protocols.
6 — Completion
The Completion folder is a repository for ensuring the project's successful launch. It includes videos, training plans, launch checklists, and transition plans. Additionally, it may be helpful to include a project close-out report and post-mortem analysis.
7 — Hypercare
The Hypercare folder contains relevant items for this phase and could include things such as support manuals, issue logs, and feedback surveys. It provides a mechanism for any issues during this phase.
8 — Backlog
The Backlog folder includes all documents or requests the team did not consider relevant to the project. Even though they are not part of the project, it might be beneficial for the sales team to look through the Backlog folder because they could find potential upsell opportunities.
